Early Complaint Response: Listen, Acknowledge, and Apologize

The first three steps in complaint handling are designed to calm the conversation before any investigation or repair begins.

Listen fully. Let the customer explain the problem without interruption. Stay calm and avoid getting defensive.

Acknowledge the concern. Show that you understand why the situation is upsetting. This confirms that the customer has been heard, but it does not mean the contractor is admitting fault.

Offer a sincere apology. Express regret for the customer’s bad experience, even before the cause is known. A respectful apology helps lower tension and keeps the discussion productive.
