Verify the Problem and Set the Next Step

Once the contractor has listened and acknowledged the customer's concern, the conversation should shift into fact-finding and action.

Verify the issue. Ask specific questions and check the job file, photos, test results, and earlier messages so the response is based on evidence instead of guesswork.

Set a clear next step. Tell the customer what will happen next or when they will hear back. For example: "I will review the work order and call you by 4 p.m. today with the findings," or "We can return Thursday morning to inspect the circuit at no extra charge." If more investigation is needed, do not promise a fix before the facts are confirmed.
