Lead With the Technical Facts When Reporting a Problem

When an unexpected issue must be shared with a customer, begin with a direct description of what was found. For example: "While tracing the basement circuit, we found brittle cloth-insulated conductors that need replacement." The next sentence should explain the practical effect on cost and timing: "Correcting it will add about one day and $780 to the project." Stating the facts first helps the customer understand the situation clearly, keeps the conversation professional, and makes it easier for them to weigh the options without getting distracted by apology language or uncertainty.
